Sick leave
Everyone gets ill and there will be times it will prevent you from coming into work. Students are allowed up to 7 days self-certified sick leave, any sick leave longer than 7 days will have to be supported by a medical certificate.
Annual leave
As a postgraduate research student, you are entitled to 35 days annual leave/year – this includes the Christmas closure as well as official holidays.
If you’re a visa student, you’re allowed to take a maximum of 30 consecutive days annual leave without any risk of violating visa conditions. You also have to be aware there may be extra travel/visa conditions if you’re planning to travel abroad during your annual leave.

Just like members of staff, postgraduate research students are entitled to bereavement leave, maternity leave, …
In case of maternity leave, you will need to check the conditions for your particular research project, especially if you receive funding from an external organisation as it may affect your monthly stipend.
How do I record leave?
Apart from maternity leave (which is recorded as an interruption of studies), all types of leave need to be recorded via S3P by completing a notified absence form online. In order to complete the form you will first have to log on to your personal profile.
Please ask your supervisor for permission before completing the notified absence form.
Once you’ve submitted your absence form, it’s forwarded to Karolien on the portal for final approval – your supervisor will receive a copy of the approval via e-mail.
